The main purpose of this project is to propose a system which will overcome the previous storing procedure inefficiency. Sakura residential college did not have a proper storing procedure and system for student to use for keeping their belonging. The problem that arise because of these situation is that there are cases where student item is missing and misplaced which caused the student unable to find their items. To overcome that situation a residential college store system is propose. The development of this system used the Waterfall model which consist of five phases that need to be done completely step by step. CHAPTER 1 1.0 Introduction to the chapter 1 This chapter is about problem statements, objectives, methodology, scopes of the project, expected outcomes and project schedules. 1.1 Introduction Storage system is important for an organization, it is helpful in keeping all office goods, document and item in a neat and systematic (Blog, 2008). Residential college store system is a system that can be used by the Sakura residential college in University Malaysia Sarawak (UNIMAS). The purpose of this project is to help the college management handle the storing procedure more efficiently using a technology. Previously, Sakura residential college in UNIMAS handle the storing procedure manually, which means that each student will print a form for them to fill in and submit to the person in charge of the store in order for them to store their belonging. The manual procedure is not efficient as the form submitted by the student might lost, the solution to this problem is the residential college storing system. To use this system student will have to choose which residential college they live and enter their matric number to retrieve their information from college database. Once they enter the system, their basic information will be displayed. Each of the student will enter the number of item that they will store in the college store and choose the item size. The system will auto generate how much they will need to pay based on how many items they stored and the size of the item. Once everything is save and submitted to the database, the system will generate a tag which will contain a barcode. Barcode technology help for centralized a record of items on a computer system (Woodford, 2016). The student will need to print out and stick to their item. This barcode contained the student information, if the student wanted to take this item, they will need to scan their item barcode to prove that the item belongs to them. This will prevent the student took the wrong item. 1.2 Problem statement (i) Sakura residential college does not have a proper storage procedure and system for student to use to keep their belonging in college store. (ii) Each student will manually print out a form to fill in order to keep their belonging in college store and hand over to the person on duty. (iii) There are a lot cases of missing item or mistook item. The form that the student give to college will be kept in hardcopy if the form is missing, then student will have problem to know which store their item is kept and how many item their store in college storage. 1.3 Objective Residential college storing system will help college management to arrange and keep record for student belonging. It also helps to prevent missing item or mistook item by referring to a label that will be stick on the item. Each of the label contain a barcode. This technology will help to optimize college management on storing system. (i) To create storing system for residential college by the use of technology. (ii) To prevent student items missing or mistook (iii) To help the college management to keep record of store usage 1.4 Methodology A methodology can be defined as methods to solve a class of problems and specifies how and when each method should be used (Bruegge & Dutoit, 2010). The methodology that will be use in this project is the Waterfall Model. The Waterfall methodology is a cascading step by step which cover the development process with a small level of iteration between staged (Howcroft & Carroll, 2000). This model is also known as the Linear Sequential Life Cycle model. The Waterfall model is simple and easy to understand. Each stage in the Waterfall Model must be completed before moving to the next stage. Waterfall model are used when the requirements are well defined, clear and fixed. Other than that, Waterfall model are suitable for a short term project. i. Requirement stage This is the first stage of development which all the requirement are collect, gathered and documented. A set questionnaire will be distributed to the college staff and students in order to specify what are their specific requirement and request for the system. All the gathered requirements will be analysed. ii. Design stage The Design phase can be divided into Logical Design and Physical Design sub-phases (Hughey, 2009). The system design is analysed and specified. Hardware, architecture of the system and the system configuration are also decided. iii. Implementation stage This is the stage where programming language is written. At the stage, the system design is translated into source code and implement all the attributes and methods of each object as a single system iv. Verification stage Once the system is developed, a verification need to do in order to ensure if the system meet the requirements. Each of the unit or component will be test to make sure that the developed component can function well. v. Maintenance stage The last stage is the maintenance stage, in this stage the activity that will be conducted is fixing and debugging if any error or problem occur. 1.5 Project Scope The residential college storing system is design specifically for Sakura residential college. The targeted user for this system is the college administration and management staff and also student staying inside the college. This system can keep the record of the student belonging for the student reference and college reference. The residential college storing system will provide the student with a label that contain the bar code for scanning to check out their belonging 1.6 Significant of the project The significant of this project is to help the college management to handle the storing procedure to be more efficient and easier for both student and staff. Other than that, the storing system will ensure that the college will have a proper record of student who keep their belonging in the college store. With the storing system 1.7 Constraint The proposed system can only be used by the Sakura Residential College students and staff. 1.8 Project Schedule Figure 1.0: FYP1 Gantt chart Figure 1.1: FYP2 Gantt chart 1.9 Expected Outcome (i) Sakura Residential College in UNIMAS will have a proper storing system for student belonging. 1.10 Chapter summary In conclusion, the objectives of this storing system in this chapter has been fulfilled. This chapter included problem statements, methodology, scopes of the project, expected outcomes and project schedule.
